If a quote conversation disappears from Pipedrive, do not immediately send the customer another email. First establish where the message exists: the original mailbox, Pipedrive's Sales Inbox, or the intended deal. A missing CRM copy and a failed customer delivery are different problems.
Start with one affected message. Record the mailbox, subject reference and timestamp with its time zone. Then follow the matching branch below.
This guide combines current vendor documentation with an original Email Path Check. We have not run these checks in a connected Pipedrive account, measured sync speed or verified recovery of real customer messages.
Find the first missing copy
| What you observe | What to check next | What it does not prove |
|---|---|---|
| The original provider mailbox has no matching received or sent message | Verify the mailbox, folders and actual send event with the provider | That disconnecting Pipedrive will recover the message |
| Pipedrive displays a stopped-sync or authentication notice | Use the account's re-authentication flow | That every historical message will be imported afterward |
| The provider has the message, but Sales Inbox does not | Check sync selection and Inbox or Sent filters | That the customer never received your outgoing email |
| Sales Inbox has the message, but the intended deal does not | Inspect the conversation's linked item | That the mailbox connection is broken |
| The owner sees the conversation, but a colleague cannot | Inspect conversation visibility and access to linked items | That all company email should be shared |
Pipedrive documents authentication, sending, Inbox or Sent population, and record-detail linking as separate troubleshooting cases. Check the displayed sync state before making changes. See its email-sync troubleshooting guide.
A provider's Sent copy is also not proof of delivery, reading, quote acceptance or payment. Keep those conclusions separate from the CRM diagnosis.
Restore authorization when sync has stopped
When the account reports that email sync stopped, open the notification's Re-authenticate action. The alternative documented route is Personal preferences > Email sync > Re-authenticate.
Sign in with the intended provider account and review the requested access through the official authentication screen. Pipedrive says credential or mail-server changes can invalidate the connection, and its re-authentication process retains previously synced history. That is different from guaranteeing that every message missing during an outage will be backfilled. Pipedrive re-authentication instructions.
Before reconnecting, privately record which mailbox was affected and the earliest known missing message. Afterward, check both a new test message and a message from the interruption period. Do not treat a cleared warning alone as a complete recovery.
Never send passwords, security codes or recovery keys to a colleague or support conversation.
Check what the connection is allowed to import
A connected mailbox can still exclude the message you need. Inspect the selected folders or labels, historical-sync start date, blocked addresses or domains, and any applicable contacts-only selection for past email.
The relevant folder is the original provider folder, not merely a label assigned inside Pipedrive. Pipedrive also documents that deselecting a folder does not remove messages already synced. If deletion propagation is enabled, deleting a CRM email can affect the original provider mailbox. Do not use deletion to test sync. Choose which emails to sync.
Record the setting before changing it. Expand only the scope your business authorizes; including private folders to recover one customer conversation can expose unrelated mail.
If the feature itself is unavailable, check the account's plan and mailbox setup first. Pipedrive currently lists email sync on Growth and higher plans and distinguishes personal from team accounts. This is a feature boundary, not a reason to upgrade before diagnosing the actual problem. Email-sync overview.
Separate deal linking from colleague visibility
Once the message appears in Sales Inbox, inspect which contact or deal the conversation is linked to. Reconnecting the provider is not the appropriate first test for a message already present in the CRM.
For a colleague who cannot see it, Pipedrive's documented checks include the linked item, the conversation's visibility and the colleague's access to linked records. Personal and team inboxes have different sharing choices, and the conversation owner controls its visibility. Email visibility controls.
Verify the intended job or quote before changing a link. Two similarly named customers, or multiple quotes for one contact, deserve a deliberate check. Do not solve a visibility complaint by sharing every conversation. Ask the authorized owner to expose only the appropriate thread to the appropriate people.
Copy the Email Path Check
Use this blank worksheet in your authorized internal system. Do not publish customer addresses, message contents or private record links.
| Observation | Record |
|---|---|
| Responsible person and affected mailbox | __________ |
| Message reference, direction and timestamp with time zone | __________ |
| Original provider: present, absent or not checked; folder | __________ |
| Pipedrive Sales Inbox: present, absent or not checked; filters | __________ |
| Intended deal or contact: correct link, wrong link or not checked | __________ |
| Authorized colleague: visible, not visible or not applicable | __________ |
| Connection notice or error, copied without secrets | __________ |
| One change made, its time and the next observation | __________ |
| Older interruption-period message checked separately | __________ |
| Remaining uncertainty and next responsible person | __________ |
The worksheet is an original reconciliation aid, not evidence that a particular account has passed a test. Write "not checked" instead of assuming a missing observation is a failure.
Verify one receive-and-reply path
Use a consenting internal test sender and a synthetic contact or deal, only after checking that your chosen records and messages will not trigger customer-facing automations.
- Send one plain test message to the affected mailbox with a unique, non-customer subject reference. Confirm its presence at the original provider.
- Look for that same message in Sales Inbox. Record the observation time; do not assume a universal sync delay or repeatedly resend it.
- Inspect the intended synthetic record and its conversation link. Check an authorized colleague's view only if shared visibility is part of your workflow.
- Reply once from the intended owner's conversation. Confirm receipt in the internal sender's mailbox and reconcile the reply in the relevant CRM views.
If any checkpoint remains unresolved, stop there and keep the evidence. One successful new exchange does not establish that older mail has recovered. Check at least one known message from the interruption period separately.
These are proposed verification steps, not a test we have performed or a guaranteed recovery procedure.
Avoid duplicate replies while investigating
Pipedrive documents duplicate CRM copies when the same message arrives through both email sync and Smart Bcc, or when a shared address is synced through multiple personal accounts. A copy without a Reply option can belong to another user's synced conversation. Check the owner before diagnosing that copy as a broken connection. Why emails can be duplicated.
For real customer follow-ups, nominate one responsible sender and inspect the existing provider conversation before taking action. A quote should not receive two reminders because two employees saw different CRM copies. Keep unresolved messages on a private reconciliation list instead of bulk resending the entire interruption period.
Escalate with useful evidence
Prepare the affected mailbox type, first observed failure time, exact notice, one redacted message reference, selected sync scope and the first failed checkpoint from the worksheet. State what is still unknown.
If support specifically needs the original message source, Pipedrive says that it must be obtained from the external email provider rather than directly from Pipedrive; the provider can supply an EML file. Send it only through the official private support channel after reviewing its contents and your authority to disclose them. Viewing raw email source.
If the message was expected from an automation that never ran, use our Pipedrive import and automation diagnosis instead. For a broader evaluation of quote ownership and the handoff to field operations, see the Pipedrive workflow checklist. Our Pipedrive review addresses buying fit separately from this repair guide.
